Track Dates
Currently you can set tracks according to:
a. a start date, and
b. forward dates.
Track functionality and usefulness would be significantly advanced it you could:
a. Specify actions according to key dates associated with the listing record (i.e. listing date, expiry date, contract date, expected unconditional date and expected settlement date), and
b. dates could be calculated forward and back from a these dates.
We were able to do this in our previous software and it was great . . .
It looks like there’s 2 requirement requests going on here:
1. Triggering addition of tracks based on an event.
2. Having reminders that are attached to floating dates (e.g. unconditional date, settlement date etc). E.g. 3 days before unconditional.
Would be good to get some more info on both of these items.
1. Regarding triggering addition of tracks based on events:
- Presumably you want support for this in multiple modules. If so, is it all modules or just some?
- For each module, what are the events that you think should be supported for triggering track addition?
- Is this an automatic process or is the user prompted to add the track when the event occurs.
- If the desire is for the track addition it to be automatic, how do we deal with questions like which contact should a track be attached to in a listing or property that includes multiple contacts or in a contact that includes multiple listing /properties?
- If the process is manual and the event occurs via API or in some way other than the user interacting with the track what do we do?
- How are these tracks cancelled?
2. Regarding floating date reminders:
- Presumably you want support for this in multiple modules. If so, is it all modules or just some?
- For each module, what are the date fields that you think should be supported for a reminder to be tied against.
- What happens to these reminders when they exist but the date does not (e.g. a reminder that is tied to an active contract unconditional date but there is no active contract on the property).
Would be great to get more input on this either here in the comments section or in rexperts.

I could imagine a setup where the the "key dates" part of they Add Contract window has a "set track" button next to each date and/or a drop down track list, so you can choose to activate a track (or multiple tracks) when the date is entered, and perhaps an "update tracks" button for when you go in and change a date.
Once they're set you could still go to the tracks and manually adjust them or delete tasks, and they wouldn't change by themselves unless you alter the key date and choose "update tracks".
Personally I dont like the idea of tracks adding themselves or moving their dates without the user okaying it or manually choosing to do so.
Presumably when you mark the sale as fallen it would delete those tracks related to key dates, or at least ask you if you want them deleted.
But to start with, even if we can just be allowed to put negative numbers in the "remind in" field (when setting up the tasks within tracks), that would be a huge improvement. Then you could have events for 1 week prior to settlement and day before settlement etc just by putting -7 and -1 days, and if the settlement moves, you reschedule it and all the negative time tracks will move correctly.
Additionally, in the "add track" dialog, there could be a drop down to choose settlement date, unconditional date, etc which would simply populate the start date based on that field at that point in time, rather than having to go back and look it up before setting the track.
Again it means tracks would have to be updated manually if dates move, but its a start.

We have used all of this functionality in our previous CRM, so can advise how it use to work there if that's of any help (and put the comments in UPPERCASE so it's easier to see)

NEW LISTING CREATED,
CONTRACT ENTERED (UNDER OFFER),
ON MARKET (UNDER OFFER BUT STILL ADVERTISED FOR SALE)
FINANCE APPROVAL RECEIVED (UNCONDITIONAL),
SALE NOT PROCEEDING,
SETTLEMENT,
WITHDRAWN.ANY UPDATE TO A STATUS WITHIN THESE LISTING STATUS EVENTS WOULD THEN CANCEL OUT A PREVIOUS TRACK (COMPLETED TASKS WOULD REMAIN BUT OUSTANDING ONES WOULD BE REMOVED, AND THEN NEW TRACK FOR THE NEW STATUS WOULD AUTOMATICALLY BE ADDED

WE HAVE SETUP OUR REX CONTACTS WITH ONE CONTACT RECORD FOR THE OWNER EVEN IF THERE ARE TWO PEOPLE SO AT LEAST THE AUTOMATION OF THE OWNER MERGE FIELDS WORK, BUT WE ARE STILL HAVING TO DO IT QUITE MANUAL FOR CONTRACT/BUYERS/SETTLEMENT AGENTS, FOR THE SAME REASON THAT THEY ARE NOT LINKED TO THE LISTING RECORD THE SAME WAY THAT THE OWNER IS, SO IT'S DIFFICULT TO GENERATE CORRESPONDENCE AUTOMATICALLY. THE MAIN LIMITATION AT THE MOMENT WITH THE OWNER HAVING TWO CONTACTS IN ONE RECORD IS THAT YOU CAN'T CHOOSE TO EMAIL JUST ONE OF THE CONTACTS, BUT OTHER THAN THAT THE MERGE FIELD SIDE OF AUTOMATION FOR EMAILS/LETTERS WORKS WELL. AS THE REMINDERS ARE TIED TO THE DATE ENTERED INTO THOSE FIELDS, THEY ARE NOT APPLIED/TRIGGERED IF THERE IS NO DATE IN THE FIELDWE DID NOT HAVE ANY AUTOMATIC TRACKS FOR PROPERTY MODULE, BUT IT WOULD BE AWESOME TO HAVE AUTOMATIC TRACKS WHEN A OAB IS ENTERED (OR AT LEAST A FLICK UP TO ASK IF YOU WANT TO ADD IT) AND COMPLETED APPRAISALS.

LOVE this idea as we had events 'Triggered' by dates in our old CRM which was extremely efficient and automates so many different processes. This was called an 'Auto-Alert' and was separate to assigning a 'Track' as it was triggered from an event or date. PLEASE PLEASE consider updating REX with this feature thanks:)

Also would really like to be able to set some reminders to a particular day of the week... Such as 'on Tuesday's book advertisment'. Wednesday's - set open home time.

I would have to agree aswell, our previous system had the capability to do this. We have just created new & updated our existing tracks to service our clients at a higher level, hoping that REX could do this based on backdating from auction date & settlement date. If would be greatly appreciated if this could be on the agenda for REX to incorporate

I would really love to give this 100 votes - but I have no votes left (used them on the ap and a couple other great ideas) but yes this is one MAJOR thing I miss from E2. Our sales team & myself don't see Tracks useful at all unless they can be attached to these dates. For an example - 2 days before Auction date send SMS reminder to all people who came through the opens. On the day deposit is due, make sure we have received it - if not advised sales person & solicitors. 2 days before Settlement make sure any outstanding invoices have been accounted for and get keys ready. Unconditional date- send congratulations letter & survey etc. They should also move as soon as you change a date.
